Google Extensions and Add-ons

  • As we make the transition from Office to Google, you may find a need to add in extended functionality to your Google applications. Typically, these expanded funcationalities are available as either Chrome extensions or Chrome add-ons. For each, there are important distinctions and access requirements, which you can find below.

    Extensions

    • Extensions enable users to tailor Chrome functionality and behavior for Google Applications to meet their individual preferences.
    • Security: Extensions have access to your username = @dpsk12.net 
    • Access: Staff can add to Chrome automatically. Students cannot. (Student access requires DoTS approval.)

    Add-ons

    • Add-ons extend the functionality of Google Suite (G Suite) applications by using Java scripts to automate various tasks in G Suite applications.
    • Security: Most add-ons use your rights to gain access to not only your drive data, but any data you have access to in the DPS Google Domain.
    • Access: Staff must go through the approval process by submitting a Google Add-on request to DoTS. If approved it will be available; if not, an alternative may be recommended.
    • Process: Once a Google Add-On request is received,
      • It will be reviewed by the DoTS Information Security (InfoSec) team to assess for any privacy or security risks.
      • If it is deemed safe, InfoSec will consult with the DPS Legal department on whether the Add-on poses any legal risks to state and federal student data privacy regulations.
      • If the Add-On is approved following the Security & Legal reviews, it will be approved and whitelisted by the DoTS Google admin. It will also be added to the ATM.
         
        We strive to process requests as quickly as possible, but if the information submitted is incomplete or data privacy agreements are required, these requests may take up to six weeks.
