• What accounting string do I use for Requisitions/PO's?

If the requisition/PO is for a project in fund 22 or fund 41 then the POETA string is required.
Any other fund then uses the GL accounting String.
    Example of POETA -  G12103-14-23320302-AR0001
    Example of GL- 10-2172-9610-2800-00000-000

  • What supporting documentation do I need to provide for a journal entry?

Such backup documentation can be an Excel file, a .pdf file, a Word document, an email, or any other document that supports the amounts and the purpose of the journal entry.  Backup may also be in the form of a descriptive paragraph composed by using the Short Text box. Backup should never include a screenshot of the current journal entry itself or a copy of the template used to upload the current journal entry, since such backup serves no purpose and actually slows down the review process. Some Examples of supporting documentation are:

    • General Ledger Account Detail, Inquire on detail balances, or other financial reports that show the transactions and accounting strings
    • Excerpts from agreements or arrangements
    • Correspondence with details of the transaction and purpose
    • Approvals from schools/departments for the sharing of costs
    • For expenses being allocated or split, an attachment showing the methodology for determining the allocation or split should be provided
